Team

Team is for groups where more than 10 people edit. Everyone who can edit holds a seat, at $25 a month or $240 a year; viewers are free. Seats are shared across the team's workspaces, each seat adds 1TB to one shared drive, and the team owns its workspaces, with admins to run it. It starts with a 14-day trial.

Free and Creator include up to 10 people who can edit across everything an account owns, and any number of viewers. Team is for the groups that need more than that: a team owns its workspaces and pays for them per seat, and admins look after its people, seats and joining.

Workspaces that belong to a team don't count toward the 10 of your own that Free and Creator allow, and a team has no limit on how many workspaces it owns.

What a seat is

Everyone who can edit in the team's workspaces holds a seat: the owner, admins, members, and anyone from outside the team you let edit. An invite to edit holds one until it is answered. Viewers are free and unlimited.

Seats are $25 a month each, or $240 a year. They are shared across all the team's workspaces, so one person editing in five of them is one seat. Each seat adds 1TB to the team's drive, which everyone in the team shares, and the cards are unlimited.

A team has between 3 and 100 seats. Seats nobody uses are let go at renewal, never below 3.

Starting a team

Choose the number of seats on the pricing page and press Start a Team trial; signed in, the same setup is at /team/new. Name the team and pick which of your own workspaces move into it; the rest stay yours. Seats start at the number those workspaces need.

The trial lasts 14 days. A card is needed to start it and nothing is charged until it ends. During the trial the team's drive holds 100GB; the full drive comes with the first payment.

If you already pay for Creator, it keeps billing on its own. Once your work has moved into the team, cancel it in Settings → Plan & billing.

More than 100 seats, single sign-on or invoices

Talk to us, the link under the pricing page's cards, is a short form: what your team needs, and a work email to write back to. You don't need an account to send one.

People

The team's page, at /team, has three tabs: People, Seats & billing and Joining.

  • The owner can do everything, and is the only one who changes the card, the plan or closes the team.
  • Admins add seats (the price is shown first), manage people, joining and what happens when seats run out.
  • Members hold a seat and can make new workspaces for the team.
  • Viewers can open and comment, and need no seat.

Everyone in the team sees everyone's name. Only the owner and admins see email addresses.

Team workspaces are open to the whole team by default. An admin can make one private; the owner and admins can still open a private workspace, so work can always be handed over.

Joining

Admins choose how people join, and can use any of these together:

  • Email invites: paste a list of addresses.
  • A team link: anyone with it can join.
  • Your company's email domain: prove you own it with a DNS record, and people who sign up with an address there can join. Free email providers can't be used. People who already have an account with that domain are asked once, the next time they sign in; admins never see who has one.

When seats run out

Admins pick one:

  • Ask first (the default): someone new joins as a viewer and the admins are asked, and can add a seat for them.
  • Add seats automatically, with an optional limit on how many can be added in a month.

Your own workspaces

The team never sees, opens or bills your own workspaces. While you hold a seat in a team that is paid up, they get unlimited cards and 50GB more drive (admins can turn this off for the team). If you leave the team, your own workspaces go back to your own plan and nothing in them is removed.

Payments

If a payment fails, the team keeps editing for 14 days while the card is sorted out. After that its workspaces are view-only: everything still opens, and paying again turns editing back on.

Closing a team

The owner can close the team. Its workspaces move to the owner's own account, and everyone keeps the access they had. If that leaves the owner's account with more than 10 people who can edit, everyone keeps editing, and nobody new can be made an editor until it is back at 10 or fewer.

Frequently asked questions

Who needs a seat?

Everyone who can edit in the team's workspaces — the owner, admins, members, and anyone from outside the team you let edit. Viewers never need one.

How many seats can a team have?

From 3 to 100, bought and changed on the team's page. For more than 100, single sign-on, or invoices and purchase orders, use Talk to us on the pricing page.

What happens when every seat is taken?

The admins decide. By default, someone new joins as a viewer and the admins are asked, and can add a seat for them. Or seats can be added automatically, with an optional limit on how many a month.

What if a payment fails?

The team keeps editing for 14 days while the card is sorted out. After that its workspaces are view-only — everything still opens — until the team is paid again.

Does joining a team change my own workspaces?

No. The team never sees, opens or bills them. While you hold a seat in a team that is paid up, they get unlimited cards and 50GB more drive; if you leave, they go back to your own plan and nothing is removed.

Do we need Team to work together?

Not until more than 10 people edit. Free and Creator include up to 10 people who can edit, at no extra cost, and as many viewers as you like.
